Cancellation Policy

Accepted Payment Methods: Cash, Credit/Debit Cards, and HSA/FSA Accounts Payment Policy: Payment is required before services are provided, whether you are paying out-of-pocket or through traditional Medicare (which may require co-pays). Payment will be requested 24 hours before your scheduled visit, but you may also complete the payment at any time prior to your appointment. Initial Assessments: For initial assessments, a non-refundable deposit of $100 is required to reserve your appointment. The remaining balance must be paid before the initial assessment is completed. Superbills for Insurance: If you have insurance other than traditional Medicare, a superbill can be provided upon request for potential out-of-network reimbursement. Please check with your insurance provider regarding their policies on out-of-network services. Late Cancellation and No-Show Policy: We request at least 24 hours' notice for cancellations. Missed visits or late cancellations will result in a fee to protect the clinic's operations. Late Cancellation Fee: A fee of $25 will be charged for any visit canceled with less than 24 hours' notice. No-Show/Missed Visit Fee: A fee equal to 50% of the session cost will be charged for no-shows or missed visits. This amounts to $125 for initial assessments and $55 for follow-up visits. Appointment Reminders: To help prevent missed visits, you will receive a reminder via text message on the morning of the day before your scheduled appointment. This ensures you have ample time to cancel or reschedule if needed. Emergencies and Exceptional Circumstances We understand that emergencies and unexpected circumstances can arise. If you are unable to attend your appointment due to an emergency (e.g., sudden illness, family emergency, accident), please notify us as soon as possible. In such cases, the late cancellation or no-show fee may be waived at the discretion of the clinic. We encourage open communication in these situations. Please contact us as soon as you are able to explain the situation, and we will do our best to accommodate your needs while maintaining fairness to all patients.
